Invitation to DeepTech Focused Cooperation Visit to Sweden

We are excited to invite our startup community members to participate in our next DeepTech-focused cooperation visit to Gothenburg and Stockholm, taking place from November 5-7, 2024, with a return to Tallinn on the morning of November 8 aboard the Tallink cruise ship Baltic Queen.

The annual trip is organized to strengthen relationships and explore collaboration opportunities with Swedish organizations in alignment with the Nordic Tech Valley initiative.

The main aim of the visit is to establish new connections and strengthen existing ones between Estonian and Swedish ecosystem actors with the goal of launching new joint collaborative programs in 2025 and beyond.

Visit focus areas

This year, we are narrowing our focus and involving participants more directly in meeting arrangements. The trip is organized around four national priority areas:

  • Defence technologies
  • Health technologies
  • Green technologies
  • Technologies driving deep tech (AI, robotics, etc.)

Visit format

We have structured the 2,5-day trip as follows:

  • 1-2 joint meetings each day for the entire group
  • 2-3 smaller focus group meetings tailored to each topic area
  • Evening networking events for whole group to foster further connections with Swedish partners

Responsibilities

  • Estonian Business and Innovation Agency (Startup Estonia) will coordinate and cover the costs of joint meetings, networking events, accommodation, and transportation between Gothenburg and Stockholm, as well as the return trip to Estonia.
  • Participants will contribute by suggesting relevant contacts and arranging focus group meetings within their areas of expertise. Each participant is responsible for their own travel to Gothenburg by the morning of November 5th. Travel costs will be reimbursed after the trip.

Participant requirements and selection

  • We will select up to 17 representatives from the Estonian startup community (support organizations, not startups) who are committed to advancing the deep tech ecosystem.
  • Each organization may send one representative, or up to two if space permits and the organization operates in multiple focus areas in its daily activities.
  • The representative should be a mid-level decision maker (or higher) representing your organization to ensure that potential cooperation projects can be developed.
  • Your organization must provide services to the deep tech startup ecosystem and contribute to its broader growth through collaborative projects with Swedish partners for 2025.

Covering costs

Participants are expected to book their own flights to Gothenburg. However, to ensure equal opportunities regardless of financial circumstances, Startup Estonia will reimburse flight costs up to €150 per participant.

Startup Estonia will cover the following:

  • Accommodation (shared twin rooms) for the duration of the study visit (Nov 5-7);
  • Inter-city transportation in Sweden (domestic flight);
  • The boat from Stockholm to Tallinn (Nov 7-8), including accommodation in cabins and buffet (evening and morning);
  • Networking events.

Total de minimis aid granted to participating organizations: Up to €900 per participant.

Startup Estonia will not cover the following:

  • Local public transportation between meetings (metro, bus, taxi, etc.).
  • Food, except during networking events.
  • The full cost of a single room (if a participant prefers to stay alone).
  • Travel and health insurance, and any other personal expenses of the participants.

 

Preliminary schedule:

Day 1 – Gothenburg, Tuesday, November 5th

Possible visits: Mobility X Lab, Chalmers University of Technology, Volvo Group, AI Sweden

Morning:

  • 7:00 or 7:45 Flight from Tallinn to Gothenburg via Stockholm (arrival at 9:20)
  • 10:00 Hotel check-in and luggage storage
  • 11:00-12:00 First joint visit

Midday:

  • Lunch break
  • 13:30-14:30 Second joint visit or simultaneous meetings based on specific focus areas

Afternoon:

  • 16:00 Joint meeting with Honorary Consul Karl Malmström and a meetup with local leaders

Evening: Overnight stay in Gothenburg

Day 2 – Stockholm, Wednesday, November 6th

Possible visits: VINNOVA (Swedish ecosystem introduction), Epicenter, Sting Deeptech Accelerator, KTH (Royal Institute of Technology).

Morning:

  • 7:40 Flight to Stockholm (Arrival at 8:45) – TBC
  • 9:30-10:30 Hotel check-in and luggage storage
  • 11:00-12:00 Joint visit

Midday:

  • Lunch break
  • 13:30-14:30 Simultaneous meetings based on specific focus areas

Afternoon:

  • 15:30 Joint meeting at the Embassy
  • 16:30 Networking event at the Embassy, participants can invite their contacts

Evening: Overnight stay in Stockholm

Day 3 – Stockholm, Thursday, November 7th

Morning:

  • 9:30-10:30 Joint visit or parallel visits in smaller meetings
  • 11:30-12:30 Simultaneous meetings based on specific focus areas

Midday:

  • Lunch break and free time

Afternoon:

  • 16:00 Gathering at cruise ship terminal Värtahamnen
  • 17:30 Departure of the cruise, accommodation in two-person cabins
  • 18:00-19:30 Study trip knowledge sharing workshop

Evening:

  • 20:00 Dinner at the buffet
  • Social time between community members

Day 4 – Tallinn, Friday, November 8th

Morning:

  • 8:00 Breakfast at the buffet
  • 10:45 Arrival to Tallinn

Please note that the exact meetings and schedule are subject to confirmation. The Estonian Embassy in Sweden and Estonian Business and Innovation Agency investor consultant in Sweden, Piret Ree, will assist in organizing the trip.
